This policy explains how Onyx Building Limited, a building company serving Nelson and Tasman, handles personal information when you visit our website, contact us or work with us. ## Information we collect Our website enquiry form asks for your name, email address, phone number and reason for enquiring. When discussing or carrying out a project, we may also receive your property address, project requirements, plans, photographs and related correspondence. We generally collect information directly from you. We may also receive relevant project information from someone acting on your behalf or from trades and suppliers involved in your project. Please only provide information about other people where you are authorised to do so. You can choose what information to provide. If you do not provide the details needed to understand your enquiry or contact you, we may be unable to respond, prepare a quote or provide our services. Fields marked with an asterisk must be completed to submit the website form. You can also email us directly. ## How we use your information We use relevant information to respond to enquiries, discuss and quote work, plan and manage projects, coordinate trades and deliveries, communicate with you, and maintain necessary business records. We may also use it to meet legal obligations or deal with a complaint or dispute. We do not use enquiry details to send promotional emails. ## Who we share it with We share relevant details with subcontractors and suppliers when needed to obtain quotes, organise deliveries or carry out your work. We also use service providers to operate our website, process enquiries, manage email and maintain business records. We may disclose information where required or permitted by law. Our website and enquiry form use HubSpot. Enquiry notifications are sent to our Onyx Building email accounts so we can respond. We aim to share only the information needed for the relevant purpose. ## Storage and retention We use electronic business systems to hold personal information. Our HubSpot account’s selected data hosting location is Australia. Service providers may also process information in other countries under their service arrangements; the hosting location does not mean every part of processing takes place in Australia. We take reasonable steps to protect personal information against loss, misuse and unauthorised access or disclosure. We keep it for as long as reasonably needed for the purposes described here, including relevant legal, accounting and project record requirements. It is not kept indefinitely simply because an enquiry was made. When it is no longer needed, it should be securely deleted or anonymised. ## Website cookies and technical information We have configured HubSpot to deactivate cookie tracking across www.onyxbuilding.co.nz and switched off HubSpot intent-data sharing. The website’s Google Analytics, Google Tag Manager and AdRoll integrations are not enabled. Essential cookies and technical processing may still be used by our hosting and form providers to deliver the website, maintain security and prevent abuse. Technical information may include an IP address, browser details and requests made to the service. Disabling cookie tracking does not prevent all technical information from being processed. Links to Google reviews and our social media profiles take you to other services, which handle information under their own privacy policies. ## Access, corrections and privacy concerns You can ask to access the personal information we hold about you or request a correction.
